The two things that matter most. The documents remain yours, at all times, and you can take them away whenever you want with a button that is always there.

If you exceed your plan’s limits we do not block you: we count the excess and let you know.

1. Who we are

Simonitto EOOD — EIK 207284384, ul. Serdika 23, 1202 Sofia, Bulgaria.

In this document “we” means Simonitto EOOD, and “you” means the accounting firm using the service. By using the service you accept these terms; if you do not accept them, you may not use it.

2. What we offer

An online service that allows an accounting firm to:

  • give each of its clients a portal for uploading documents
  • organise those documents into automatically created folders
  • see who has uploaded and who has not
  • request specific documents and know when they arrive
  • manage employees and delegations between firms, according to the chosen plan

What the service is not: it is not accounting software. It does not calculate taxes, does not keep the day book, does not produce returns. It organises the documents you work on.

Available features depend on the plan. The current list is on the pricing page.

3. The account

Using the service requires an account, which we create at your request. You receive a link to choose a password.

You are responsible for what happens with your credentials. If you suspect someone has gained access to them, tell us: we can suspend the account until the situation is clear.

You may create operators and collaborators, and decide what each of them can see. Their actions are your responsibility.

4. Where the documents are, and whose they are

The documents are yours. They remain yours at all times, and this is the most important clause in this document.

Depending on what you choose:

  • Your Google Drive — the files are in your account, they use your space, and you can revoke our access whenever you want
  • Storage we provide — space dedicated to your firm with a European provider, in the data centre you choose
  • Your own storage — you connect yours, and the files are wherever you decide

In no case do we claim rights over the documents, and we do not use them for purposes other than making the service work for you.

You can take them away whenever you want. The service has an export function always available, which produces the documents in their folder structure plus everything that is not in the files — comments, document types, employees, delegations — in spreadsheets. You do not have to ask us and there is no charge.

5. What we ask you not to do

  • upload unlawful content, or content you have no right to process
  • use the service for purposes other than your firm’s document management
  • attempt to access other firms’ data
  • resell the service to third parties without a written agreement with us
  • deliberately overload the system

If any of these occurs, we may suspend the account. Where possible we warn you first; where there is an immediate risk to other firms, we suspend and inform you immediately afterwards.

6. Prices and payment

Prices are those published on the dedicated page, in euro.

Simonitto EOOD is not registered for VAT: the prices shown are final, with no VAT to be added.

The subscription is paid in advance, monthly or yearly. With yearly payment two months are not charged.

If you exceed the plan’s limits

We do not block you. If you have more clients than the plan provides for, the service keeps working and the excess is counted: 1 € per month for each additional client, 5 € for each operator.

Blocking a firm just as it is growing — perhaps at month end, at a tax deadline — would be the worst way to behave. We let you know, and moving up to the higher plan usually costs less than the excess.

If you do not pay

If a payment fails you have 15 days to put it right. During that period the service keeps working normally.

After the 15 days, the portal stops accepting new uploads but the documents remain readable and downloadable. We delete nothing over a missed payment.

7. Trial period

If we offer you a trial period, for its duration the service is free and complete. You enter your card when you sign up, but nothing is charged during the trial: the first payment starts at expiry, and until then you can cancel at no cost.

At expiry, if you do not activate a subscription, the portal stops accepting new uploads and the documents remain accessible for export.

8. Cancellation

You may cancel whenever you want, effective at the end of the paid period. There are no penalties and no minimum notice.

After cancellation you have 30 days to export everything. Once those have passed, we delete the data we are not required by law to keep.

If the storage is your Google Drive or your own S3 space, the documents stay where they are: we do not touch them.

We may cancel with 60 days notice, refunding the unused part of the subscription.

9. Availability of the service

We do everything we can to keep the service reachable, but we do not promise 100% availability — nobody can.

Scheduled maintenance is announced at least 48 hours in advance and carried out at times of lower use.

If the service is unavailable for more than 24 consecutive hours through our fault, we credit you one month of subscription.

10. Liability

The service organises documents. It does not replace your professional judgement, and it is not answerable for how you use them.

In particular:

  • automatic classification of documents is an aid, not a certification: it must be checked
  • the deadlines the system signals are those you have set
  • liability towards your clients for accounting work remains entirely yours

Our total liability, on any basis, does not exceed what you have paid in the 12 months preceding the event. This limitation does not apply where the law does not permit it: wilful misconduct, gross negligence, personal injury.

11. Your clients’ data

The documents and data your clients upload belong to them, and you are the controller.

We process them only on your behalf, according to your instructions. The relationship is governed by the data processing agreement you sign together with these terms.

You undertake to inform your clients that you use this service, and to have a legal basis for processing their data. How we process data is described in the privacy policy.

12. Changes

We may amend these terms. If the change is substantial — prices, included features, limitations — we notify you by email at least 30 days beforehand.

If you do not accept it, you may cancel before it takes effect and we refund the unused part.

13. Governing law

Bulgarian law applies. The courts of Sofia have jurisdiction over disputes.

If you are a consumer within the meaning of European legislation, the protections it grants you remain unaffected.
